Understanding the Different Types of Copiers

Types of Copy Machines

There are four main types of copiers and printers. While some of them have similarities, there are some key differences between each copier machine type that you should be aware of.

Multifunctional Printers/Copiers 

As the name suggests, a multi-function printer brings much more to the table than just copying capabilities. At their most basic, they offer printing, scanning, and faxing. Newer models are incredibly easy to connect to the internet, which makes document sharing/processing incredibly smooth. If you choose a multifunction printer, you will find that many are compatible with accessories and finishers, which further adds to their functionality. 

Desktop Copiers 

A desktop printer/copier is a great choice for smaller companies that are looking to keep things simple. Their compact size enables them to fit conveniently on a desk or small table, hence the name. Their smaller stature comes with some limitations, such as not being able to surpass 11x17 size paper - but for those just looking for basic functionality, this is not usually an issue. 

Wide Format Printers 

Wide format printers are a must have for those who work with a lot of print media. They can accommodate paper sizes far larger than “standard” copiers and printers, and they make it easier to work with creating things like posters, images, and banners. 

Digital Copiers 

Digital copiers make up just about all of the printers currently available on the market. Analog printers are outdated and rarely found on the market, as they are not compatible with modern office needs and are far less efficient than digital printers. 

How to Choose the Best Copier 

Many factors come into play when determining how to choose a copier for business functionality. After learning the basics about the various copier categories, there are some questions that you can ask yourself to further hone in on which copier machine will be the best fit. 

What Will You Be Using Your Copier For The Most?

For example, if you do a lot of scanning, you will need to make sure the copy machine you are using is compatible with the software that you use to manage scanned documents. Or, if you don't already have a specific software you like to use, you will need to make sure that whatever software comes with your copier is compatible with your computer. 

Scanning and OCR Ability 

If you do a lot of scanning and want to be able to conveniently make edits to scanned documents, you will want to make sure that the equipment you purchase has OCR ability. This technology works with your computer to convert printed text into digital characters and in turn holds many advantages over traditional scanning. 

How Much do you Prioritize Print Speed?

When determining how to choose a printer, you will also want to consider print speed. Our printer options range from 20 pages per minute to 80 pages per minute, which is a big difference! If you are printing out bulk marketing materials, an 80 PPM printer might be more suitable, whereas one on the lower end might be more appropriate for a small operation only printing papers for internal use. 

Do You Need to Print in Color or just Black and White?

Some of our printers/copiers excel at putting out sharp vibrant colors. Others are best suited for making black and white prints. Do you work with a lot of mixed media or do you stick to mostly printing out text? Determining this will help you determine whether or not investing in a printer with top of the line color capabilities is worth it. 

Do You Want the Option to add Accessories?

Multifunction printers are best for those who need a lot of accessories, as they can be outfitted with folders, staplers, and other add-ons that can make staying organized and productive much easier. You will also be able to choose from options like multiple outlet trays, and even booklet makers! 


Are you working with a lot of sensitive documents? If it is important to keep confidential information safe, you will want to look into equipment with encryption technology. Some printers even have a "secure print" function that only releases printed documents once the correct password has been put in, which is great for offices where some employees are permitted to view certain documents but not others.
